Summary
The Field Programs Support Coordinator provides essential administrative and logistical support to the Field Programs department, facilitating effective communication and collaboration between missionaries and the Concordia office. By assisting field leadership and streamlining operational processes, this position enhances the overall effectiveness and outreach of the mission, ensuring that programs run smoothly and successfully.
Duties/Responsibilities
- Assist the Chief Programs Officer with scheduling, hosting guests, and various other tasks
- Serve as the liaison for missionaries connecting with the Concordia office, including handling incoming questions from donors and staff
- Provide administrative, logistical, and travel support to the Field Programs team and missionaries as needed
- Assist the Chief Programs Officer in monitoring partnership development goals
- Oversee the entire prayer letter process, from start to finish
- Manage all partnership development material orders, including the online storefront
- Track and manage international travel as well as accompanying requirements
- Maintain interdepartmental information flow (e.g. attend Marketing meetings and other meetings, as assigned).
- Maintain and update records and information for missionaries
- Manage the purchase and distribution of gifts, cards, and mail for missionaries and partners
- Oversee the Marketing and partnership development supply closet, including managing inventory, placing reorders, unpacking shipments, and distributing table-top banners
- Assist in coordinating missionary orientation, exit interviews, and placements
- Track furlough visits and manage the necessary logistics
- Oversee the annual MK scholarship
- Perform other duties as assigned
Qualifications and Competencies
- Preferred candidate will have a Lutheran background and strong knowledge of the faith
- International perspective (global outlook)
- Top-notch oral and verbal communication skills
- Impeccable time management skills with the ability to multitask
- Detail-oriented approach with ability to work under pressure to meet deadlines
- Preferred proficiency in Microsoft Teams and WhatsApp applications
- Ability to understand the needs and interests of leadership and missionaries
Education and Experience
- High school diploma or Bachelor’s in a related field
- One to three years’ experience in an administrative/clerical support position
Physical requirements
- Ability to sit for extended periods while using a computer or performing other tasks
- Ability to lift and carry objects weighing up to 15 pounds
- Ability to occasionally travel domestically as required
- Occasional emergency and hospitality needs may arise during evenings and weekends
