Summary

The Accounting Assistant is responsible for providing essential financial support through accounts payable and receivable management, as well as assisting with reconciliations and reporting. Additionally, they serve as the front desk receptionist, handling phone inquiries, welcoming visitors, and maintaining office supplies and records.

Duties/Responsibilities – Accounting

  • Oversee the receipt and verification of expense reports, ensuring accurate reconciliation of financial documents
  • Manage vendor payments and address any disputes or inquiries directly with vendors to ensure timely resolutions
  • Maintain an organized vendor database for efficient record-keeping and communication
  • Initiate monthly and quarterly account reconciliations, ensuring all discrepancies are promptly addressed
  • Allocate expenses to the appropriate departmental accounts to maintain financial integrity
  • Monitor estates and unclaimed property, tracking their status and ensuring compliance with relevant regulations
  • Prepare and enter journal entries in accordance with accounting best practices
  • Act as a backup for Gift Records and addressing related inquiries
  • Other related duties as assigned

Duties/Responsibilities – Front Desk Receptionist

  • Answer and transfer phone calls, skillfully screening inquiries to ensure efficient communication
  • Resolve simple donor inquiries and provide assistance as needed
  • Welcome and direct visitors, ensuring a professional and friendly front desk presence
  • Maintain and order office supplies to ensure a well-stocked and organized work environment
  • Update and maintain files related to vendors and donors for accuracy and accessibility
  • Other related duties as assigned

Qualifications and Competencies

  • Demonstrate excellent attention to detail, professional attitude, and ability to maintain confidentiality
  • Ability to present information concisely and effectively, both verbally and in writing
  • Ability to troubleshoot, problem solve, organize and prioritize work
  • Proficient in Microsoft Office or related programs
  • Ability to learn other accounting software systems

Education and Experience

  • Bachelor’s degree in a related field preferred
  • Two to three years’ general administrative experience
  • Two to three years’ experience in finance or related field, preferably in a not-for-profit organization

Physical requirements

  • Ability to sit for extended periods while using a computer or performing other tasks
  • Ability to lift and carry objects weighing up to 15 pounds
